Terms of Service
Last updated 15 October 2026. These terms apply when your organisation uses Wizarm.
The short version: Wizarm is a business tool. You own your call data and we only use it to run Wizarm for you. Try it free for 14 days; after that you pay monthly or yearly, and you can stop at any time.
1. Who we are
Wizarm is provided by Wilson Mendes, trading as arminghall ("we", "us"), Old Stoke Road, Arminghall, Norwich, Norfolk, NR14 8SQ, United Kingdom. Arminghall Ltd is being set up to take over the service; when it is, we'll update these terms with its details and tell you.
Contact us at [email protected].
"You" means the organisation that signs up for Wizarm, and "your users" means the people your organisation lets into your workspace. By signing up, the person who creates the workspace confirms they can accept these terms for the organisation.
2. Your account
- Wizarm is for business use. You must be at least 18 to create an account.
- The person who signs up becomes the workspace owner. The owner and admins decide who else can use the workspace and what each person can see. Only they can add people to your workspace.
- Keep sign-in details private and tell us straight away if you think someone has used your account without permission. You're responsible for what happens in your workspace.
- Give us accurate details and keep your contact email working: we use it for sign-in links, password resets and important account messages.
3. Free trial
New workspaces get a 14-day free trial with every feature. You don't need a card to start. The trial starts when you confirm your email address.
If you don't choose a plan by the end of the trial, the workspace is paused. We delete a paused trial workspace and its data 30 days after the trial ends.
4. Plans and payment
- Prices and plans are shown on wizarm.com. You pay for the people you choose to monitor; supervisors, viewers and screens are free.
- We are not registered for VAT, so the prices shown are the full prices.
- We always put you on the cheapest plan for the number of people you monitor. If you add people, you move up straight away and pay the difference for the rest of the billing period. If you remove people, the lower price applies from your next billing date.
- Plans are paid in advance, monthly or yearly. They renew automatically until you cancel.
- If a payment fails, we'll tell you and try again. If it still isn't paid after 14 days, we may pause the workspace until it is.
- We'll give you at least 30 days' notice of any price change, and it applies from your next renewal.
- Payments already made aren't refundable, except where the law says otherwise or we've agreed in writing.
5. Connecting Webex
Wizarm reads data from your Webex Calling organisation after one of your Webex administrators approves the connection. You confirm you have the authority to do that, and you can disconnect at any time from Wizarm or from Webex Control Hub.
Wizarm depends on Webex being available and on the data Webex provides. We aren't responsible for Webex outages, changes Cisco makes to its services, or errors in data that comes from Webex. Wizarm is not affiliated with or endorsed by Cisco. Webex is a trademark of Cisco Systems, Inc.
6. Your data
Your data stays yours. This includes the call records, queue and agent details Wizarm reads from Webex, the wallboards and reports you build, and anything you type into Wizarm.
You give us permission to store and use your data only to run Wizarm for you: to show your dashboards, wallboards and reports, to keep the service secure, and to fix problems you report. We don't sell your data and we don't use it for advertising.
We may use anonymous, combined statistics about how Wizarm is used (for example, how many wallboards are open) to improve the product. These never identify you, your callers or your staff.
How we handle personal data is explained in our Privacy Notice.
7. Processing personal data on your behalf
The call data in your workspace includes personal data, such as caller phone numbers and your staff's names and call activity. For that data, your organisation is the controller and we are the processor. This section is our data processing agreement under UK GDPR Article 28 (and EU GDPR where it applies). We will:
- process that personal data only on your documented instructions. Using Wizarm's features, and these terms, are your instructions;
- make sure everyone who can access it is bound to keep it confidential;
- protect it with appropriate technical and organisational measures. These include encryption in transit, encrypted storage of connection tokens, hashed passwords, and access limited by role and queue;
- use only the sub-processors listed in our Privacy Notice, under written terms that give the same protection. We'll give you at least 30 days' notice of a new sub-processor, and you may object or close your account;
- help you respond to requests from people exercising their data rights, and with security, breach notification and data protection impact assessments, as far as is reasonable;
- tell you without undue delay, and within 72 hours, if we become aware of a personal data breach affecting your data;
- delete or return the data when the service ends, as described in section 12, unless the law requires us to keep it;
- give you the information you reasonably need to show compliance, and answer reasonable audit questions in writing.
Your data is stored in the United Kingdom. Where a sub-processor handles it outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Addendum.
You're responsible for having a lawful basis to collect your call data and for telling your callers and staff how it's used, for example in your own privacy notice.
8. Acceptable use
Don't use Wizarm to break the law or anyone's rights. Don't try to get into other workspaces or our systems. Don't overload, probe or reverse-engineer the service, or resell it without our agreement. We may suspend access that puts the service or other customers at risk; where we can, we'll tell you first and work with you to fix it.
9. Availability and support
We work hard to keep Wizarm running and to fix problems quickly, but we can't promise it will never be interrupted. We may need short maintenance windows, which we'll try to keep outside UK working hours. Support is by email at [email protected]. We aim to reply within one working day.
We keep improving Wizarm. We may change or remove features, but we won't take away a core part of your plan in the middle of a period you've paid for without offering a fair refund for that period.
10. Ownership
We own Wizarm itself: the software, design, brand and documentation. These terms give you the right to use it while your account is active; they don't transfer ownership. If you send us ideas or feedback, we may use them without owing you anything.
11. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law.
- Neither of us is liable for loss of profit, revenue, business or goodwill, or for indirect or consequential loss.
- Otherwise, our total liability to you in any 12-month period is limited to the amount you paid us for Wizarm in that period. During a free trial, that is £100.
- Wizarm shows information to help you run your phones; it isn't a substitute for your own judgement. You're responsible for decisions you make using it.
12. Ending the service
You can cancel at any time in Wizarm or by emailing us. Your plan runs to the end of the period you've paid for and then stops renewing.
After your account closes, you keep read-only access for 90 days so you can export your data. After that we delete your workspace and its data. Any copies in our backups are removed within a further 30 days.
We may close an account if you seriously or repeatedly break these terms, or if a payment stays unpaid. Except in urgent cases, we'll give you notice and a chance to put things right.
13. Changes to these terms
We may update these terms. If a change matters, we'll tell the workspace owner by email at least 30 days before it takes effect. If you don't agree, you can cancel before then. The date at the top shows when the terms last changed.
14. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If something goes wrong, please contact us first. Most things can be sorted out quickly by email.
